What we collect

  • Enquiries: your name, email address, phone number, the site address or postcode, the type of survey, your message and any plans you attach.
  • Survey area: if you draw your survey area on the map on our contact page, the outline and its approximate size are sent with your enquiry.
  • Projects: when we carry out work for you, the details needed to do it, such as site access arrangements, contact details for you or your agent, and records of our correspondence.
  • Website use: if you accept analytics cookies, information about how you use our website, such as the pages you visit and the type of device you use.

How we use it

  • To reply to enquiries and prepare quotes, because it is in our legitimate interests to respond to people who contact us, and because you have asked us to take steps before entering into a contract.
  • To carry out surveys, issue drawings and invoice, because this is necessary to perform our contract with you.
  • To keep business and accounting records, because the law requires us to.
  • To understand how our website is used and improve it, only with your consent to analytics cookies.

We do not sell your information, and we do not use it for marketing unless you have asked us to.

Who we share it with

We only share your information where needed to run our business or deliver your survey. This includes the companies that host our website and email, Google (for website analytics if you consent, and for the map on our contact page), our accountants, and other professionals on your project where you have asked us to, such as your architect or solicitor.

Some of these providers, including Google, may process information outside the UK. Where they do, the transfer is protected by UK adequacy regulations or approved contract terms.

How long we keep it

  • Enquiries that don’t go ahead: deleted within 2 years of our last contact.
  • Project and client records: kept for 6 years after the project ends, to meet tax requirements and so we can answer any later questions about the survey.
  • Analytics data: kept by Google for up to 14 months.

Cookies

Our website uses a small number of cookies that it needs to work properly. With your consent, it also uses Google Analytics cookies to count visits and see which pages are useful. You can accept or decline these when you first visit, and change your choice at any time using the cookie settings option on our website. The map on our contact page is provided by Google Maps, which may set its own cookies when you use it.

Your rights

You have the right to:

  • ask for a copy of the information we hold about you
  • ask us to correct anything that is wrong
  • ask us to delete your information, where we don’t need to keep it
  • ask us to restrict how we use it, or object to our use of it
  • ask for your information in a format you can take elsewhere
  • withdraw your consent to analytics cookies at any time

Complaints

If you are unhappy with how we have handled your information, please contact us first so we can put it right. You can also complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.
